IMPORTANT RULES

Please adhere to the following:

No open flame

No gas stoves or BBQ’s

No dogs or pets (support animals are exempt)

No drugs or byo alcohol

Only smoke in the designated area. Please pick up & bin your cigarette butts.

Observe the specified gate opening and closing times

Wear your official festival wristband at all times

No non-paying ticket holders/ friends to come onsite to help set up or pack up your gear without prior approval from Management

All Caravans, Campervans and trailers must have a valid Caravan/Campervan ticket to enter the site.

The road in the main festival area is one way only

Once Festival commences no movement of vehicles that are parked within the festival area can take place without the approval from info desk and assistance with the buggy. Vehicles that are parked in the outer car parks can come and go from the main entry during gate openings times at will.

There are upstairs and downstairs rooms available - please select which one you need when checking out.

Rooms are available after 2pm on the Friday so upon arrival you will drop your bags off and allow motel staff to take your belongings to your room while you enjoy the festival.

Otherwise they are available right away when booking Thursday night early arrival.

GATE ENTRY AND CLOSING TIMES

The festival ends around 4:00pm (guests must exit by 7pm)

GATE ONE entry is for staff and hotel accommodation only.
Once your ticket is checked, you will be directed to reception.
You will either be shown to your room right away or hotel staff will do a bag drop if your room isn't ready.
Those with Day Passes, Camping, Glamping, Sleep in Car Passes * or Caravan Passes *, please enter GATE TWO.
* only valid with a festival pass
Please have your tickets available on your phone ready to be scanned by our Gate Staff. You will then be directed to your designated area.
PLEASE NOTE: All cars onsite must have either a car pass, sleeping in car pass or caravan pass. This is already included if you have a day pass and there is no need to purchase separately.
ONCE PARKED, we ask that you do not move your car until the festival concludes.
If you need to come and go, please let the gate staff know, and they will park you in day parking.
DAY PASSES
GATE TWO ENTRY: Attendees with day passes will be directed to park in the day pass area and walk over to the festival grounds.
Day passes do not need a car pass ticket as it is already included in your ticket.
​
CAR PASSES
Anyone staying on site will need the appropriate car pass. This needs to be purchased prior to ticket processing at the gate.
Only one car pass is needed per car - not per person.
If you intend to leave during the festival, please let the gate / traffic team know as they will need to park you in day parking.
​
CAMPING / GLAMPING / ONSITE ACCOMMODATION
After showing your tickets and getting your wrist bands, you will be directed to the appropriate area by our friendly crew. You will be able to drop off your belongings and fellow travelers/attendees next to the road in that area. You will then be directed to park in the STAYING ONSITE Festival carpark that is also within that area. You can then walk back to your designated spot.
If you do have accessible needs, please let staff know and they will be able to assist you.

PLEASE NOTE: Car parking and accommodation options are separate for safety reasons.

The camping area is not huge so please be mindful of the size of your camping set up.
-
There are NO powered camping, glamping or caravan sites. If you need power, please select the onsite accommodation option - although these are very limited.
​
SLEEPING IN CARS / CAMPERVANS / CARAVANS / MOTORHOMES
GATE TWO - For attendees who have a SLEEPING IN CAR, CAMPERVAN, MOTORHOME / CARAVAN pass you will be directed to the appropriate area by our friendly crew so you can sleep in (or set up a tent next to) your car, campervan, motorhome or caravan within the main festival grounds.
Upon arrival and showing your above pass and your Festival pass at the TICKET CHECK POINT you will be directed on where to park and will follow the road around until you get to another check point where staff will inform you where you will park up for the event.
​
Partners / Husbands can come into the festival grounds Friday morning if you need assistance driving your caravan. Please let us know prior and they MUST be off the grounds by 10am on Friday and cannot return until 4pm Sunday.

Each caravan site is 4m x 14m. All vehicles need to be self-contained.
-
Caravan sites are NOT powered.
-
Wastewater can be released into nearby gardens

We ask that you do not move your vehicle during the event without permission from Event Staff.
​​
POWER
There are no shared power facilities in the camping areas at Cleveland Estate. Please bring power packs if needed.
You can charge your phone in the chill-out lounge space or in the women's circles space.
There is also limited POWER PACKS for Medical needs that can be hired from this space. There is a $200 fee to hire the power packs with $100 of that refunded on return.

Map & Facilities
FACILITIES:
Cleveland Estate is on mostly flat and well-maintained land. There are gravel paths throughout. ​
​​

Hot Showers are available but please keep time to a minimum so others have a chance to shower as well. 3 minutes max. Showering during the day will probably have less wait times than attempting to shower morning or night.
-
Water taps are scattered throughout the WINERY section with free drinking water. There is also a water station near INFO TENT
-
Kettle available in the Camping / Glamping Hub. Bring own coffee / tea / soup supplies.

24-hour First Aid services (on call overnight)

Buggy stops will be at various points should you need a lift.

Support and free counseling services (for those in need), please visit our First Aid tent.

A large amount of tables and chairs around the main areas for your comfort.

A chill-out Lounge Space that is both heated and air conditioned. Bar and bar snacks are available in this space and there are power facilities to charge mobile photos. (The women's circles also has power facilities for phone charging).

SHOWERS / TOILETS
While there is no requirement in Australia to provide shower facilities at camping festivals, we wanted to ensure this option was available for those who need it.
Due to limited water access points on site, shower placement has been carefully planned around existing infrastructure. Unfortunately, this means they are not as close to the camping areas as we would have liked.
To help ensure everyone has access, please keep your showers to under three minutes.
If you’d prefer to avoid waiting, we recommend showering outside of peak times, particularly early mornings and late evenings.

There are many portaloos around the site for your convenience. A lot of the buildings also have serviced toilets and bathrooms.
BUGGY STOPS & ACCESSIBILITY
The distance between the Community Hub and the INFO TENT is 250m.
The grounds are mostly flat except for a slight up climb from the INFO TENT to the Women's Circles Area.
The main festival area is a grassy field.
Those with accessibility needs, please feel free to take advantage of our Buggy Stops and Buggy Lifts to help support you around the site.
Everyone is welcome to use this service but please be patient and those with accessibility needs will get first preference.

PRINTED PROGRAM GUIDE:
You will receive a full color printed program guide upon arrival to help you navigate your time at the festival better. Bring some pens or textures so you can circle the workshops or activities that take your fancy.

WORKSHOP ETIQUETTE:
No need to pre-book. You simply turn up approx. 10 minutes prior.
There may be limited spots in the craft workshops so if you are really keen to do something, please ensure you get their extra early. Most of these runs twice so if you miss it once, you will have another chance to participate.
Please wait for the Space Guardian to welcome you in.
If you need to leave a workshop early, you are welcome to do so but please be mindful to leave quietly and without fuss as to not distract the presenter and participants.

BUGGY STOPS
We have Buggy stops throughout the site that as long as you don’t mind waiting, will be happy to give you a lift as needed.

If you are at any time feeling overwhelmed and need extra support, please present to either the INFO DESK or FIRST AID.
If you see someone struggling, please flag down a staff member.
Please note there are a number of quiet retreat spaces onsite.
CONTRACTORS
Please be aware that at times there may be contractors onsite who don’t identify as female.

PHOTOGRAPHY
The Ultimate Girls Weekend hopes to document and promote the event through photography & videography.
Attendees automatically provide consent to be included in all photography & videography taken by organizers or official event photographers and for all of these recordings to be used at the discretion of the organizers and their partners.
If you do not wish to be filmed or photographed, it is the responsibility of each individual to leave details at the INFO TENT to make this request and to leave details so we can exclude their image from our promotional material.
FIRE:
We are holding our Ultimate Summer Festival during the fire ban season.
Please be advised that the following is not permitted:

No smudge sticks, candles, fires, pyrotechnics, firecrackers, sparklers, incense sticks or flares.

WELCOME TO COUNTRY & SMOKING CEREMONY
Held by Aunty Jo in the main stage area at 6:30pm on Friday.

CLOSING CEREMORY
This will take place in the Main Stage area at 3pm. Come together one last time to reminisce and appreciate our time together before we bid farewell until next time.
​

The program is subject to change and these changes will be communicated via Facebook, Instagram, or the workshop location on their noticeboard an.

SELF CARE HUB
During the festival you will be able to line up at the Self Care Hub and book in a 25-minute Healing or Reading with one of our amazing facilitators.
​
Bookings are $50 for 25 minutes.
Payment will be made directly to the Healer/Reader. Please bring cash as they may not have eft facilities.
​​
SIGN UP TIMES:
THURSDAY: 5pm
FRIDAY: 7:30am (for the first 2 timeslots), 2pm
SATURDAY: 7:30am (for the first 2 timeslots), 2pm
SUNDAY: 7:30am (for both of the timeslots)​
To give everyone a chance, you will only be able to book in with one person per sign up time.
You can book once for anytime that day (not just the times you are lining up for). This is instead of the pre-booking system we trialed last year.
You can only book for yourself.​
If you are wanting to have a few drinks from the bar, please wait until after your reading or healing as some Healers / Readers will not be able to honor your booking if you are under the influence.
There are also several Stallholders that will be offering Healing & Reading Services that you can book in at any time during their festival opening hours (they may also have a no drinking policy to ensure your safety and wellbeing).
​
​LEAVING THE FESTIVAL ON SUNDAY
From 12pm, you are welcome to collect your car and drive into the grounds using the outer road to pull off to the edge of where you were camping/glamping etc. Load your car and keep driving the one way out.
Please be advised that during the main festival grounds, the road is one way only.
No cars are permitted to stay parking in the main festival area without prior permission from the Safety Officer or a proper pass.
Any car that is blocking the road may be towed.
No vehicles are permitted in past the “NO CAR PAST THIS SIGN“ entry points of the main festival area.

WE WELCOME YOUR FEEDBACK
Should you have any concerns please let the INFO TENT know so we can address them if possible in a timely matter.
Otherwise, there will be a feedback book at the INFO TENT as well as a survey sent out otherwards so we can get your valuable feedback on how we can improve to make the Ultimate Girls Weekend an enjoyable experience for all.​
